Live Operations

Live production is the phase where the project is managed in real-world conditions. Real-time situational awareness, field communication, and up-to-date work instructions help teams operate efficiently and keep the entire execution under control.

Documents, live communication, accreditation, reporting and field updates help coordinate operations, provide real-time situational awareness and keep everything under control, even when things move quickly.

Real-Time Situational Awareness

During live operations, task progress should not depend on phone calls or manually maintained lists. Sapluna's Tasks and Work Cards allow progress to be monitored in real time, and field personnel can mark tasks as completed using mobile devices as work is finished.

This creates a continuously updated operational picture of the entire production.

Project management gains immediate visibility into:

Communication Travels with the Project

Communication becomes even more important during live operations. Sapluna's communication tools are part of the project database, ensuring that project communication is not scattered across isolated messaging applications or individual devices.

Because communication takes place inside the project environment, discussions remain available as part of the project's permanent records, so important decisions, instructions, and agreements can be reviewed later whenever needed.

Check In and Check Out Bring Visibility to the Field

Sapluna provides Check In and Check Out functionality that allows the status of registered users to be updated on site. The functionality supports three primary use cases.

Attendance and Working Time Tracking

Users can scan a QR code at the event location to update their status.

This gives project management accurate data on attendance and working hours.

Employees, volunteers, or partners can:

  • check in
  • start time tracking
  • check out
  • end time tracking

Accreditation and Arrival Management

The second use case relates to participant arrivals. When a person arrives, reception staff can update their status to indicate arrival.

Live events therefore generate accurate operational data in real time.

This can be done by:

  • scanning a ticket
  • scanning an invitation
  • reading a QR code
  • manually updating the status

This functionality can be used to monitor:

  • audience attendance
  • customer arrivals
  • performer arrivals
  • staff arrivals
  • group progression through event stages

Resource Allocation and Returns

Check In and Check Out can also be used to manage resources.

When a resource is issued for use, it can be checked in. When returned, it can be checked out.

The functionality can be used for both consumable and returnable resources.

For example, a radio assigned to a Security Manager can be registered when issued and marked as returned when the shift ends. The same approach can be used for keys, tools, access credentials, vehicles, and other project assets.

This improves accountability, reduces losses, and ensures traceability of organizational assets.

Project resources may include:

  • radios
  • keys
  • tools
  • vehicles
  • equipment
  • event infrastructure
  • inventory items
  • identification cards
  • access passes

This makes it possible to track:

  • who currently holds the resource
  • when the resource was issued
  • when it was returned
  • its current status
  • whether it is still in the field or has been returned to storage

At the organization level, resource allocation and return data can be connected to inventory balances, providing real-time information about:

  • resources currently in use
  • returned resources
  • resources still deployed in projects
  • available inventory levels

AiLi Supports Live Operations

Sapluna's AiLi AI Agent utilizes verified organizational and project information. Because AiLi relies on trusted project data, it can safely support live operations.

This improves information availability, strengthens customer experience, and increases confidence among people working on site.

AiLi can act as:
